I recently ran into a frustrating situation while arranging a trip for a family in Rome, and I’m trying to figure out better ways to handle this going forward.
I had booked a complete Rome itinerary for them, including a Colosseum tour, Vatican visit the next day, and a private airport transfer. Everything seemed well organized in advance.
However, things went wrong when their flight was delayed and they ended up missing the scheduled airport transfer. I started receiving messages late at night asking what could be done, but I wasn’t able to reach the supplier for immediate support.
By the next day, their Colosseum reservation had been cancelled due to the missed timing, and I was left trying to secure last-minute tickets during peak season, which proved very difficult.
I ended up spending hours coordinating between different parties, trying to recover the situation, but it felt like there was very little support from the booking side when things didn’t go as planned.
This experience made it clear how difficult it is to manage tours and activities when there is no reliable system in place to handle delays, changes, or real-time support.
I’m now considering looking into more structured travel agent tools or platforms that offer better handling of schedule changes, availability issues, and customer support, so I’m not constantly dealing with last-minute problems alone.
