Group trips only work if you set these 3 rules before leaving

TL;DR: I did two group trips to Europe with different friends. One ended in tears and fighting. The other was one of the best trips of my life. The difference wasn’t the people, it was three rules we set before booking anything.

I love my friends, but travel really exposes cracks if you don’t talk stuff through.

First group trip? Disaster. Arguments over money, couples disappearing without warning, nobody knowing who was responsible for what. One fight, one person crying in a café, and it took weeks after getting home for things to feel normal again.

Second trip? Incredible. Same kind of personalities, same Europe chaos, but zero drama. Here’s what we did differently.

Rule 1: Be brutally honest about money

Before booking anything, we talked real numbers. Daily budget, big splurges, stuff some people might want and others might skip. On the first trip we all “agreed” in theory, but once there, every meal decision turned into silent resentment. This time, expectations were clear and nobody felt pressured or cheap.

Rule 2: Plan solo time on purpose

Not everyone needs it, but someone always does. On the first trip, people randomly ditched plans and it felt rude. On the second trip, we actually scheduled solo blocks. “I’m doing my own thing Tuesday morning” or “I’m skipping this, see you at dinner.” Knowing it in advance made it feel normal, not personal.

Rule 3: Assign roles

Don’t wing it. We assigned who navigates, who picks food spots, who keeps time. Biggest win was having one person handle bookings and big expenses, plus a shared card for daily stuff. Weekly settle-ups. No awkward math, no quiet resentment.

Honestly, the rules didn’t make the trip rigid. They made it relaxed. Everyone knew what to expect, and we actually enjoyed being together instead of negotiating everything in real time.

Curious if others do something similar or if you’ve got a group trip horror story.
